Summarize with AI

If you missed our live session on using AI to get hours back in your day, here’s the rundown. Katie Meixner-Croft, our Digital Marketing Operations Manager, and Gina Ramsey, Pink Dog Digital’s owner and resident AI expert, walked through how our team uses AI internally: to offload the repetitive work that eats up the day, without handing over judgment or strategy.
The Problem: Not Enough Hours in the Day
Every business runs into the same wall. You sit down planning to do strategic work, and three hours later you’re still in your inbox, redoing a spreadsheet, or putting out a fire that wasn’t even on the radar that morning.
AI won’t run your business or replace the relationships you’ve built, but it can take a real chunk of the repetitive, first-draft, admin-heavy work off your plate.
The Tools: Claude, ChatGPT, and Read.ai
Gina broke down the three tools we lean on most:
- Claude handles drafting, summarizing, and automation: everything from emails to task creation to prospecting.
- ChatGPT gets heavy use from our SEO and PPC team for research, ideation, and drafting.
- Read.ai records meetings and hands back transcriptions, summaries, and action items, so nobody’s taking notes live.
Within Claude specifically, there are three core functions worth knowing: Chat (your everyday assistant), Code (for automations and more technical builds), and Cowork (which connects into tools like Google Workspace, Microsoft 365, and Teamwork to actually act on your behalf). A fourth, Design, is available but isn’t recommended for general usage right now.
Cutting Down on Hallucinations
How you set up and prompt these tools matters as much as which tool you use. Gina’s approach is to feed in resident memory (who she is, what the company does, writing samples) and explicitly instruct the model not to answer unless it can cite its sources. She also flagged the difference between a “push” prompt (dump in a request and take what you get) and a “pull” prompt (ask the AI to gather the questions it needs before answering). Pull wins, consistently.
Automations Already in Use
Gina walked through three live examples: a CRM built directly into Cowork that replaced a $60/month tool, an email triage system that drafts follow-ups and files reports automatically, and a prospecting sequence that scrubs chamber of commerce lists and runs a ten-touch outreach cadence in the background. Combined, these have saved her roughly five hours a day.
Katie covered the social and content side: using AI to repurpose a single blog post into captions, newsletter copy, FAQs, future blog topics, and video scripts, all while keeping actual writing in human hands.
The data backs this up: according to our research, human-written blog posts on our site got picked up 68% more than AI-written ones. (You can download the white paper for free here).
The Five-Step Starting Framework
The session closed with a simple framework:
1) Identify your most time-draining task
2) Pick the right tool
3) Build a workflow template
4) Test and refine it
5) Share what works with your team
Fix one pain point, confirm it’s working, and move to the next.
